Overview

The Coordinator, Program Operations works as an integral member of the National Quality Forum (NQF) Operations team to provide detailed operational, programmatic, and logistics support for projects across the Quality Measurement and Applied Innovation teams. The Coordinator works with teams across both NQF and The Joint Commission (TJC), of which NQF is an affiliate organization. 

Responsibilities

The Coordinator, Program Operations primarily will provide administrative support for key projects led by NQF and TJC staff in support of the Enterprise Strategic Plan. Key duties include the following: 

  • Schedule project meetings with internal team members across NQF and TJC, working with project managers, executive assistants, and project leads. 
  • Poll, schedule, and manage meetings with external stakeholders and partners. 
  • Professionally engage with high-profile external stakeholders, including clinical experts, executives, and policymakers. 

Assist with project management and program-related activities, such as supporting project plans and timelines, tracking task status, risk management, and other areas. There is potential to take on increasing project management related activities over time. 

  • Provide operational support in drafting meeting minutes for team meetings or external calls as needed. 
  • Monitor and assist with responding to messages in project in-boxes and manage calendars. 
  • Assist with team efforts to document best practices and procedures for scheduling meetings, event management, and monitoring touchpoints with internal and external stakeholders. 
  • Participate in the development of processes that inform standard work across NQF/TJC programmatic activities.  
  • Work with internal teams to maintain project or committee rosters and other relevant programmatic details. 
  • Support department use of technologies such as SharePoint, conference lines, webinar platforms, loaner laptops, etc. 
  • Develop collaborative and trusting working relationships with team members, key staff, and senior leadership to support the work of project teams. 
  • Provide outstanding customer service in all circumstances and work to provide a positive and professional work environment. 
  • Perform other duties as assigned in a professional and timely manner. 

Qualifications

Education/Certification: 

Minimum of one year’s experience in trade associations or non-profit organization; 2 years’ experience preferred. 

Experience and Skills: 

  • Proficiency in use of MS Office suite, MS SharePoint, MS Teams, Zoom meeting platform, and various scheduling tools is preferred 
  • Proficiency in notetaking and drafting portions of PowerPoint deliverables/materials and proficiency with developing portions of written deliverables/material 
  • Proficiency in project, product, or operational process support and coordination 
  • Experience supporting virtual or in-person event logistics with internal and external stakeholders 
  • Proficiency in notetaking and drafting portions of PowerPoint deliverables/materials and proficiency with developing portions of written deliverables/material 
  • Ability to operate with increasing independence and complete tasks efficiently 
  • Ability to recommend solutions to implement process improvements or enhance event experiences  
  • Agility and mastery of adapting to and supporting changing needs of an organization, conditions, and work responsibilities 
  • Ability to work effectively with teams and with a collaborative work style 
  • Effective oral and written communication skills, with demonstrated proficiency in preparing accurate and quality written and visual presentations

Work environment 

In the primary environment, the noise level is quiet to moderate with ambient room temperatures, lighting, and traditional office equipment, as found in a typical office environment.
